How We Create and Process Invoices
Here’s a simple guide to how we handle invoicing for our recurring services:
- Creating Invoices: We create invoices for our recurring services on the first day of every month.
- Payment Process: To avoid any double payments, we don’t send out these invoices right away. Instead, we wait until the payment has been processed, which usually takes 3 to 5 business days*.
- Notification: While waiting for the payment to clear, you might get an email from GoCardless about the charge.
- Invoice Sent: While we recommend waiting for the invoice to arrive in your email, however you can also access it earlier through the portal.
How to Access and Manage Your Invoices
You can view your invoices and update your payment method through our online portal. Here’s how you can do it:
- Go to the Portal: Visit our portal at Chargebee Portal.
- Manage Your Account: Click on “MANAGE ACCOUNT”.
- Login: You don’t need a password. Instead, the portal will send a one-time code to your primary email address for you to log in.
Key Points to Remember
- If the Invoice doesnt arrive: Its important to know that If the payment isn’t completed, we won’t send the invoice. Since our payment system is automated, it’s rare for recurring invoices to go unpaid.
- Keep Payment Methods Updated: Make sure your payment information is current in the portal to prevent any issues with your service.
Payment Terms
- Clause 3.1(c) of the Master Services Agreement specifies that all recurring monthly invoices must be paid by either credit card or direct debit.
- This requirement is mandatory, meaning that clients are expected to use one of these two payment methods for their regular monthly payments.
- The clause does not provide flexibility for alternative payment methods unless explicitly agreed upon otherwise in the contract. This ensures a consistent and streamlined process for handling recurring payments.
